A logo that looks sharp on a laptop screen can fall apart fast when it goes onto pens, polos, tote bags or signage. That is why a proper guide to logo file formats for printing matters. If you are ordering branded merchandise or uniforms at scale, this is not a design theory problem. It is a procurement problem. The file you send affects setup time, print quality, decoration method and, in some cases, whether your job can proceed without extra artwork work.
Why logo files cause printing delays
Most print delays start with one issue - the supplied logo was created for digital use, not physical production. A small PNG pulled from a website might look fine in an email signature, but it often lacks the resolution or structure needed for embroidery, screen printing or pad printing.
Printing works across very different surfaces. A logo on a metal pen needs different handling from a logo on a cotton tee or a hi-vis jacket. Some methods need clean vector paths. Others can work from high-resolution raster artwork. That is why there is no single best file for every job, but there are clearly better and worse starting points.

If you only keep one master version of your logo, make it a vector file. Vector artwork is built from paths and curves rather than pixels, so it can scale up or down without losing quality. That makes it the safest option for most print applications.
The main vector formats you are likely to see are AI, EPS, SVG and PDF. For printing, AI, EPS and print-ready PDF are the most commonly useful. SVG is also vector, but it is more common in web workflows than production print.
A vector logo is usually the best choice for screen printing, pad printing, vinyl transfer, laser engraving guides and artwork conversion for embroidery. It is also much easier for a production team to separate colours, adjust sizing and prepare proofs when the logo arrives as vector artwork.
AI files
AI is the native file type used by Adobe Illustrator. If your designer created your logo professionally, there is a good chance an AI file exists. This is often the cleanest source file because it preserves editable paths, layers and text handling.
For print buyers, AI is excellent to have on file, but not always ideal to send around casually if fonts are not outlined or linked elements are missing. A properly packaged or outlined AI file solves that.
EPS files
EPS remains one of the safest file types in branded merchandise production. Many suppliers and decorators still prefer EPS because it is reliable for vector artwork and works across a wide range of systems.
If a supplier asks for an EPS logo, they are usually trying to avoid the common problems that come with low-resolution image files. An EPS with text converted to outlines is often a strong production-ready option.
PDF files
PDF can be either excellent or useless for printing - it depends how it was built. A PDF exported from vector artwork is often perfect. A PDF made by dropping a blurry JPG into a document is still just a blurry JPG in a different wrapper.
That is the key trade-off with PDFs. They are easy to share and widely compatible, but quality depends entirely on the source artwork inside the file.
Raster files: when they work and when they do not
Raster files are pixel-based. The main types are PNG, JPG and TIFF. These files can be suitable for printing if they are high enough resolution, but they do not scale cleanly the way vector files do.
This is where many orders hit friction. A buyer sends a 300 pixel wide logo copied from a website header, then expects it to print cleanly across the back of a polo or on a large event banner. Once enlarged, the edges soften, fine lines break up and text can become unreadable.
PNG files
PNG files are common because they can support transparent backgrounds. That makes them useful for mock-ups and some print jobs, especially when supplied at high resolution. For simple one-off branding on larger, forgiving surfaces, a good PNG may be enough.
But PNG is still not the best master file for print. If the file needs resizing, recolouring or preparation for specific decoration methods, production is easier and more accurate from vector artwork.
JPG files
JPG is usually the weakest option for logo printing. It does not support transparency well, uses compression and often introduces artefacts around edges. It may be acceptable if it is very large and the print application is simple, but it is rarely the preferred format.
If your only logo file is a JPG, expect that artwork cleanup or redrawing may be needed before printing.
TIFF files
TIFF files can be high quality and are more suitable for print than JPG in many cases, especially for photographic artwork. But for logos, TIFF is still generally second choice behind vector. It is more useful when the artwork includes detailed images rather than clean brand marks and text.
Which file format suits which print method?
This is where practical buying decisions matter. For screen printing on tees, bags and some promotional items, vector files are typically best because spot colours and sharp edges need clean separations. For embroidery on uniforms, caps and workwear, vector files are again ideal because the artwork often needs digitising.
For full-colour digital printing, a high-resolution raster file can sometimes work well, particularly if the artwork includes gradients or photographic elements. For small-format items such as pens, keyrings and lanyards, sharpness becomes even more important because fine text and thin outlines can disappear quickly. In those cases, vector artwork gives the best chance of a clean result.
If your logo includes gradients, shadows or very fine detail, there may be production trade-offs. What looks good on a brochure does not always translate neatly to embroidery or one-colour print. Sometimes a simplified print version of the logo is the better commercial option.
How to check if your logo file is print-ready
You do not need to be a designer to spot the common issues. First, zoom in. If the edges of the logo stay perfectly smooth at large size, it is likely vector. If they turn jagged or blurry, it is raster.
Next, check the file extension. AI, EPS and some PDFs are promising. PNG and JPG are more limited. Then check whether fonts are outlined and whether colours match your brand requirements. If your logo relies on a specific Pantone or exact corporate colour, that should be clear in the artwork file or accompanying brand guide.
Finally, think about use case. A file that works for a notebook cover may not be suitable for a small print on a pen clip. Good artwork is not just about file type. It is about whether the file suits the product, decoration area and print method.
Common mistakes buyers should avoid
The most common mistake is assuming any file with a logo in it is usable for print. It is not. A logo pasted into Word, PowerPoint or an email signature is not a production file.
Another issue is sending the wrong version of the brand mark. Businesses often have stacked, horizontal, icon-only and reversed versions of a logo, but only one gets sent across every time. That can slow approvals if the layout does not suit the product.
There is also the colour problem. RGB files are built for screens. Printing may require CMYK, spot colour matching or thread colour conversion for embroidery. If colour accuracy matters, this needs to be discussed before production, not after the proof is approved.
